    There is a conference, but the venue is silent…?

    Pertamina Digital Community (MITA) held the “Pertamina Digital Expo” in Jakarta on November 1-2, 2023. In addition to being a meeting and hub for digital partners and practitioners, this expo was also an exhibition of cutting-edge technology that could be utilized by BUMN personnel, government agencies, educational institutions, and the general public to observe developments in digital transformation.

    The digital transformation activities became an important step in changing the way the oil and gas industry, especially Pertamina, conducted its daily operations. The digital transformation implemented by Pertamina was also able to provide value in cost optimization.

    We were in partnership with another Event Organizer to support the audio setup for the event. The question is, if there is any audio setup, why is the venue very quiet? Every event has unique requirements, this event is one of them! Pertamina Digital Expo wants to make a parallel session in one stage. For most events, this seems impossible to manage, but there are always solutions for every challenges.

    Two (2) sessions in one stage can be solved with our Interpretation Devices (Receivers). It’s not a usual practice for the device. As many people know, receivers usually used to hear interpreters speaking during the event. In this case, devices were used to hear the speakers that are currently speaking at the stage. The event is in quiet mode, the speakers using our special microphone, can speak freely and doesn’t have to shout and all participants at the venue can hear it.

    For this unique event, we supported:

    • 300 receivers for the participant, To ensure the highest quality of service, our inhouse team were also standby at the venue during the events. All high-quality receivers, transmitters, and headsets, all rigorously tested for optimal performance.
    • Transmitter for the entire event
    • Manpower to set up, standby, and dismantle all of the equipment.


    Since the stage is divided by two sessions. There were Side A and Side B, we provided the receivers including headset for participants to choose which side they wanted to join. So roughly around 150 receivers were distributed for each side of the session. To divide the rooms, we also need two separate transmitters. With our experienced, creative, and can do attitude technicians, we can provide and adjust our services to all clients’ requirements.

    This 2 days event went successfully, we delivered all services as required. We are honored to be part of the Pertamina Digital Expo event! In addition, in this era, collaboration is a key to success, we are happy and open to any collaboration with other event organizers or any other partners!

    At Bahasa Global, we take pride in delivering exceptional interpretation services across Indonesia. Our recent project in Bangkok showcases our ability to manage complex international events seamlessly.

    When tasked with providing interpretation services for a prestigious international project in Bangkok, we knew it required meticulous planning and flawless execution. We conducted a detailed analysis of the project’s linguistic and technical requirements, focusing on the languages involved, the session structure, and the specific needs of the venue.

    This was a two-day event, requiring:

    • Simultaneous interpretation services from Thai to English (and vice versa)
    • Receivers for the participant, To ensure the highest quality of service, we brought our advanced interpretation equipment from Jakarta. This included high-quality receivers, transmitters, and headsets, all rigorously tested for optimal performance.
    • Interpreter Booth, partnering with local interpreters and renting soundproof booths from local vendors, we relied on our equipment from Jakarta.
      In terms of making sure all equipment can perform as per standard, we flew our experienced technicians from Jakarta.

    The event took place in Grand Hyatt Erawan Bangkok, our Bahasa Global Team arrived D-1 to check all of our equipment supported with the Hotel’s equipment. Each piece of equipment was meticulously installed and tested for flawless operation. Our interpreters conducted rehearsals to familiarize themselves with the venue and the event’s proceedings, ensuring they were fully prepared. They were also carefully briefed on the project’s agenda and specific terminologies. Their extensive experience in high-stakes international events equipped them to manage the diverse topics of the conference effectively.

    This project in Bangkok exemplifies our commitment to excellence and our ability to deliver top-tier interpretation services internationally. We are proud to add this achievement to our list of successful international endeavors, reinforcing our reputation as one of the leaders in global interpretation services.

    Festival Iklim, Annual Event by Ministry of Environment and Forestry

    The Climate Festival (Festival Iklim) is an annual event organized by the Directorate General of Climate Change Control (Dirjen PPI), Ministry of Environment and Forestry. This event highlights Indonesia’s initiatives in climate change control and engages communities at the grassroots level.

    Bahasa Global has proudly served as the Event Organizer for the Climate Festival since 2020. From 2020 to 2023, we were entrusted with organizing this event for four consecutive years. During the pandemic in 2020, the event was held virtually. In 2021, it transitioned to a hybrid format with strict COVID-19 protocols, requiring all participants to take an antigen test before entering the venue. In 2022, as pandemic restrictions eased, the onsite event became more flexible. By 2023, plans were in place to increase onsite participation, allowing more public attendees.

    Each Festival Iklim event goes for 1-2 weeks and includes:

    • Opening and Closing Ceremonies
    • A series of webinars from the Directorate of Climate Change Control (Direktorat PPI) and the Climate Change Control Center (Balai Pengendalian Perubahan Iklim)
    • Various contests
    • A Virtual Exhibition, and more

    Most of these events are live-streamed on the KLHK and Ditjen PPI YouTube channels.
    The closing event, combined with the ProKlim awarding ceremony, is the highlight, attracting over 500 participants from across Indonesia. The Minister of Environment and Forestry personally attends to present the awards. Our role in this grand event includes managing registration, participant flow, distributing merchandise, setting up photobooth, documenting the event through photos and videos, providing all visual and audio systems, and catering services in Jakarta.

    The SPM Awards is an accolade presented by the Ministry of Home Affairs to recognize the best-performing regional governments in implementing Minimum Service Standards (SPM). The awards are given to three provinces, three regencies, and three cities. The SPM Awards 2024 were personally handed over by the Deputy Minister of Home Affairs of the Republic of Indonesia, John Wempi Wetipo, to the regional heads at the Bidakara Hotel in Jakarta. The event was attended by distinguished VIPs such as Governors, Mayors, Regents from across Indonesia, and Australian Embassy Representative.

    Bahasa Global was chosen to organize an event for 750+ attendees. Known for our exceptional and reliable service, we delivered a seamless and memorable experience. We provided end to end event organizing. The event itself is organized in Hybrid Settings with over 750 participants onsite and almost 1000 online participants joining via zoom. The event is also live streamed to Kemendagri Youtube Channel. 

    Bahasa Global organized this event within a limited time frame and managed complex requests.

    The services we provided for this event include:

      • Event Management: Organized an event at Bidakara Hotel Jakarta for over 750 participants, including participant registration, handling, seating arrangement, and VIP handling.
      • Location Survey: Ensured all aspects could be assessed to mitigate risks on the event day.
      • 3D Layout Design: Created a 3D layout of the venue, including seating and stage design.
      • Design Production: Produced all necessary design elements such as banners, flyers, broadcast frames, etc., to support event promotion.
      • Bumper Slides and Videos: Prepared bumper slides for each speaker and session and a bumper video showcasing the event summary.
      • Virtual Event Organization: Managed a virtual event for up to 1000 participants.
      • Audio and Video Setup: Provided audio and video setup for hybrid settings throughout the entire event.
      • Equipment Rental: Rented 5 HD camcorders and a Jimmy Jib to support hybrid settings and real-time display at the venue.
      • Sound System: Supplied a 10,000-watt sound system with wireless microphones.
      • HD V-Mix Broadcasting: Used HD V-Mix broadcasting to make the digital display more interactive both at the venue and on virtual platforms (Zoom & YouTube).
      • YouTube Live Streaming: Streamed the event live on our client’s YouTube channel.
      • Internet Services: Provided dedicated internet to support online organizing and YouTube live streaming, with portable internet as a backup.
      • Lighting Setup: Arranged lighting for the venue ambiance.
      • TV Screens: Placed TV screens for mirroring and monitoring displays at various points outside the venue.
      • Manpower: Engaged more than 25 experienced staff to handle the event.
      • Production Payments: Covered payments for additional productions such as materials, video production, trophies, certificates, etc.
      • Photo and Video Documentation: Captured every moment of the event through photo and video documentation.
      • Coordination Meetings: Conducted both onsite and virtual coordination meetings.
      • Rehearsal Session: Held a rehearsal session prior to the event.
      • Reporting: Provided comprehensive reporting on overall event management services.
    • And many more.

    Some talents we provided during the event:

    • Traditional Dance Performance: Arranged a traditional dance performance in a medley setup.
    • Sign Language Interpreter: Provided a remote sign language interpreter to support inclusivity.

    We also handled some of the productions needed for the event:

    • Stage Flooring and Decoration: Installed white melamine flooring with a mini garden decoration for the stage.
    • LED Videotron Rental: Rented an indoor LED Videotron in Jakarta, sized 24 x 4 meters, with frame design and a technician to operate the screen, along with a generator set (Genset) to support the LED screen.
    • Stage Background: Provided a black curtain for the stage background.
    • Custom Merchandise: Created 600 custom leather bags with a logo for participants and VIPs.
    • ID Cards: Produced ID cards for all participants, committee members, and speakers.
    • Roll Banners: Provided roll banners for registration and signage at various drop points.

    Bahasa Global’s meticulous planning and execution ensured a flawless event, leaving a lasting impression on all attendees and reinforcing their reputation as one of the industry leaders.     The celebration of the 25th Anniversary of Komnas Perempuan was held on November 13-15, 2023, in Grand Sahid Hotel Jakarta. The event commence with an International Seminar titled “Arah Kita: Menimbang Dinamika Global, Regional, dan Nasional Upaya Penghapusan Kekerasan terhadap Perempuan” to provide an overview of the geopolitical conditions, challenges, and opportunities at the global, national, and local levels in the efforts to eliminate violence against women. This event was attended by a public consultation involving government representatives, women’s organizations, civil society, and the media to gather reflections on the 25-year journey of efforts to eliminate violence against women and to obtain input to strengthen the institutional role of Komnas Perempuan.

    Bahasa Global as an Event Organizer for Komnas Perempuan managed a 3 Days event with numerous services in order to make the event meaningful. The event was organized in Hybrid Settings and with several Breakout Sessions. The event was attended by some of the representatives that needed language assistance. There are two types of language services that we were provided, one was Indonesian Sign Language and the other one was Simultaneous Interpretation for English and Bahasa Indonesia.

    We provided numerous services and productions for the 25th Anniversary of Komnas Perempuan:

    Event Management and Coordination:

    • Flow Management to ensure all sessions ran according to the schedule.
    • ⁠Conducted a location survey to assess all aspects and mitigate risks on the event day.
    • ⁠Handled virtual event management for online participants.
    • ⁠Set up audio and video for hybrid settings in the plenary room.
    • ⁠Provided hybrid (audio & video) setup and Zoom hosting rental for breakout room sessions.
    • ⁠Created bumper slides for every speaker and session.
    • ⁠Utilized HD V-Mix broadcasting to make the digital display more interactive, both at the venue and on virtual platforms (Zoom & YouTube).
    • ⁠Streamed the event live on our Komnas Peremuan YouTube channel.
    • Supplied HD camcorders to support hybrid settings and real-time display at the venue.
    • ⁠Ensured dedicated internet to support online organizing and YouTube live streaming, with portable internet as a backup.
    • ⁠Installed a 10,000-watt sound system with 10 wireless microphones and clip-on microphones.
    • ⁠Provided a high-resolution projector with a screen.
    • Captured every moment of the event through photo and video documentation.
    • ⁠Edited videos for various sessions (Opening Video, Event Summary, Anniversary Wish Video, etc.).
    • ⁠Managed honorarium payments for entertainment, talents, guests, etc.
    • ⁠Engaged dozens of staff to support overall event organizing at Grand Sahid Hotel Jakarta.
    • ⁠Set up a black curtain for the stage background.
    • ⁠Arranged lighting to enhance the venue ambiance.

    Talent and Interpretation Services:

    • Provided a remote sign language interpreter.
    • ⁠Offered simultaneous interpretation services, including transmitters and receivers with a US brand and ISO interpreter booth for participants in the Jakarta venue, while our interpreter worked remotely.
    • Hiring a graphic recorder onsite to summarize the event with hand-drawn outputs.

    We also handled some of the productions needed for the event:

    • ⁠Organized onsite exhibitions, including partition panels and printing exhibition materials.
    • ⁠Rented an upright piano, including delivery transport in Jakarta.
    • Rented an LED Videotron for an indoor venue in Jakarta with frame design, including a technician to operate the screen.
    • ⁠Set up an interactive booth for onsite participants to leave wishes.
    • ⁠Produced and distributed custom logo merchandise for participants.
    • ⁠Provided customized printed backdrops.
    • ⁠Supplied stationery to support the event.
    • ⁠Offered a medical kit for emergency purposes.
    • ⁠Provided electric candles.
    • ⁠Created a custom miniature to be displayed at the venue.
    • ⁠Supplied areca betel leaves for the symbolic anniversary celebration.
    • ⁠Laid carpet for stage flooring, adjusting the color to the client’s request, and decorated a mini garden for the stage.
    • ⁠Constructed a mini stage for entertainment.

    And many more services to ensure the success of the event.
